Practice Policies

Welcome 

Thank you for choosing my practice for your mental health care. The information below outlines key policies designed to ensure clarity, safety, and a supportive therapeutic experience. Please review these policies carefully. If you have any questions, feel free to ask at any time. 


Scheduling & Appointments 

Session Length 

  • Standard therapy sessions are 50–55 minutes. 
  • Group sessions vary in length depending on the group structure. 

In-Person & Virtual Options 

  • Appointments are available in person inside the church building and virtually through a secure telehealth platform. 
  • The practice is not religiously affiliated, and therapy is not faith-based. 

Weekday & Evening Availability 

A range of appointment times are offered to meet diverse scheduling needs. Availability may vary; early scheduling is encouraged. 


Cancellations & No-Shows 

Cancellation Policy 

  • Cancellations must be made at least 24 hours before the scheduled session. 
  • Sessions canceled with less than 24 hours’ notice will be charged a late cancellation fee (fee amount provided in intake paperwork). 

No-Show Policy 

  • Missed appointments without notice will be charged a no-show fee. 
  • Insurance does not cover late cancellation or no-show fees. 


Insurance & Payment

Private Pay 

Private pay rates are available for those who prefer not to use insurance or who are not covered by the plans listed above. 

Co-Pays & Deductibles 

  • Fees, copays, and deductibles are due at the time of service. 
  • Clients are responsible for verifying insurance coverage and benefits. 

Billing 

All billing concerns should be addressed promptly. Clients are responsible for any unpaid balances not covered by insurance. 


Confidentiality & Privacy 

Your Privacy Matters 

All services are confidential except in the following situations required by law: 

  • Suspected abuse or neglect of a child, elder, or vulnerable adult 
  • Danger to self or others 
  • Court orders or legal mandates 

A full explanation of confidentiality is provided during intake. 

Telehealth Privacy 

Clients participating in virtual sessions must be: 

  • In a private, quiet space 
  • Located within the state(s) where the therapist is legally permitted to practice 
  • Using a secure internet connection whenever possible 


Communication Policies 

Email & Phone 

  • Email and voicemail may be used for scheduling or administrative questions. 
  • Therapeutic issues should be discussed during sessions. 
  • Email is not considered a secure form of communication; sensitive information should not be shared electronically. 


Emergencies 

This practice does not provide emergency or crisis services. 

If you are experiencing an emergency, please call: 

  • 911 
  • Your local crisis hotline 
  • The national Suicide & Crisis Lifeline at 988 


Late Arrival Policy 

If you arrive late, the session will still end at the scheduled time so that other clients are not impacted. The full session fee still applies. 


Professional Boundaries 

Healthy boundaries are essential for effective therapy. 

  • Dual relationships are avoided whenever possible. 
  • Social media connections with clients are not permitted. 
  • The therapeutic relationship remains professional at all times. 


Termination of Services 

Therapy may conclude when: 

  • You feel you have met your goals 
  • A higher level of care is recommended 
  • Attendance becomes inconsistent 
  • Treatment is no longer clinically appropriate 

Termination is ideally a collaborative process discussed in advance. 


Client Rights 

As a client, you have the right to: 

  • Be treated with respect 
  • Ask questions about any aspect of therapy 
  • Decline any intervention 
  • Request referrals 
  • Review your records, within legal guidelines 


Client Responsibilities 

Clients are expected to: 

  • Attend sessions consistently 
  • Participate actively in the therapeutic process 
  • Be honest about concerns, goals, and feedback 
  • Notify the therapist of changes in insurance or contact information
